Corporate Event Audio: A Pre-Show Checklist for Planners

A pre-show audio checklist for corporate event planners — mic inventory, coverage targets, RF coordination, console routing, and the rehearsal tests that catch failures before doors open.

Corporate event audio fails in boring, repeatable ways: presenters off-mic during walk-ons, Q&A the back half can't hear, RF dropouts during the CEO segment, and a house mix that sounds fine at FOH but thin on camera. This checklist covers what planners should lock before load-in — not gear catalogs, not "trust your vendor" filler.

Use it to write a production brief your audio team can bid against, and to know what to test in rehearsal when intelligibility, redundancy, and show flow all have to land on the first cue.

Define the audio profile before anyone counts mics

Before you spec a line array, define what "good audio" means for your show format. A 400-person keynote with one presenter and slides has different requirements than a panel with audience Q&A, walk-up music, and a live band for the awards segment.

Write down three commitments:

  • Primary listening zones — main floor only, or balcony and overflow rooms on the same mix?
  • Content priority — speech intelligibility above all, or music-forward energy for brand moments?
  • Capture requirements — IMAG, live stream, ISO recording, or all three on separate buses?

Those answers drive speaker count, console channel count, and whether you need a dedicated broadcast mix. Skipping this step is how you end up with twelve wireless channels nobody planned for and a show caller guessing which mic is live.

Microphone inventory — what to assign and what to spare

Mic count follows format, not headcount. A general session with a panel, two presenters, and floor Q&A needs a documented inventory before RF coordination starts — not a "we'll figure it out at sound check" conversation.

Minimum inventory for a corporate general session:

  • Primary presenter — lav or headset with a backup (second lav, handheld on standby, or dual-path wireless).
  • Secondary presenters / panelists — one mic per seated participant; handhelds for standing formats or audience-facing segments.
  • Moderator / host — dedicated wireless if they move between stage and audience; don't share with a panelist who stays seated.
  • Audience Q&A — wireless handhelds (two minimum for handoff), catchbox, or both; define who runs mics to the asker.
  • Walk-on / VOG — separate from presenter lavs if music beds or stings run under announcements.
  • Backstage / green room — comms or a confidence feed if talent waits offstage during long segments.

RF coordination checklist — bring this to your vendor:

  • Frequency scan window — when the venue gets scanned, and who holds the master coordination sheet.
  • Adjacent-room inventory — breakouts, press rooms, and sponsor activations on overlapping bands will drop your keynote mic.
  • Battery and swap protocol — charged spares at FOH, mid-show swap procedure, and who alerts the show caller before a mic goes dark.
  • Mute logic — presenter lavs, audience mics, and VOG on separate mute groups; confirm no channel mutes when slides advance.
  • Compliance — venue RF restrictions, union jurisdiction on wireless deployment, and any broadcast coordination if you're near a sports arena or airport.

One spare wireless per four active channels is a reasonable floor for general sessions. Awards shows and heavy Q&A formats need more — plan spares against the highest-risk segment, not the average segment.

House system, coverage, and the room you actually have

Speaker design starts at the back row, same as sight lines. Measure the distance from the last occupied seat to the primary PA cluster. That distance, plus ceiling height, airwall positions, and balcony overhangs, determines whether a single hang covers the room or you need delay fills and front fills.

Coverage targets to put in your brief:

  • Speech intelligibility — STI or ALCons target if the room is difficult (high ceiling, deep balcony, lots of glass); at minimum, "all speech content intelligible at the farthest seat without straining."
  • SPL consistency — no more than 6 dB variance seat-to-seat in the primary listening area; side sections and under-balcony seats often get forgotten until rehearsal.
  • Music vs. speech tuning — if walk-on tracks and awards music run through the same system, confirm EQ and limiter settings won't fight presenter lavs when the show switches modes.
  • Delay timing — if you have fill speakers, confirm delay alignment is measured, not guessed; misaligned fills sound like echo, not "more volume."
  • Noise floor — HVAC, kitchen exhaust, and lobby bleed-through are venue problems that become audio problems at the first quiet moment on stage.

Ask for a coverage plot or a simple cross-section sketch before you sign off. A PA that covers 80% of the seats well and ignores the sponsor table section is a predictable post-event complaint.

Console routing, DSP, and recording paths

The FOH console is the traffic controller. Corporate shows often need separate outputs for house, stream, recording, and monitor feeds — each with different dynamics and EQ. Lock routing before rehearsal, not during it.

Questions for your audio vendor:

  • House mix — who owns FOH levels, and what's the handoff if a presenter adjusts their own monitor and throws the house balance?
  • Stream / broadcast bus — dedicated output with controlled dynamics, not a post-fader tap someone adjusted at lunch.
  • Recording — ISO tracks per mic plus a stereo program mix; local recorder independent of the platform cloud.
  • Monitor mixes — how many discrete mixes (presenter, band, show caller, VOD), and who requests changes during the show?
  • Playback sources — QLab, ProPresenter, or video server outputs routed to defined channels; confirm sample rate and clock sync across all digital inputs.
  • Failover — backup console, redundant wireless receivers, or at minimum a documented manual switch step if the primary path drops.

Run a line check that tests every input to every output that matters — not just "mic one works." A presenter who hears themselves perfectly in the wedge while the stream carries silence is a rehearsal problem you want at 2 PM, not 2:05 PM when the segment is live.

Rehearsal sequence — test the failure modes

A corporate audio rehearsal is not a five-minute "check, check." Block time to simulate the show:

  1. 1.Full mic handoff — presenter to panel to audience Q&A; confirm show caller, audio op, and monitor engineer share the same cue.
  2. 2.Walk-on with music bed — VOG or track under announcement; confirm ducking logic and that the presenter lav isn't fighting the playback level.
  3. 3.Video with embedded audio — play every sizzle reel and bumper; embedded tracks often arrive hot or out of sync with the PA.
  4. 4.Remote or hybrid return — if virtual panelists join, test mix-minus and echo cancellation on the same platform you'll use show day.
  5. 5.Fail one path — mute the primary wireless receiver or drop the stream bus briefly; confirm backup mic or manual switch procedure.
  6. 6.Record and review — five minutes of recording reviewed by someone who wasn't in the room; they catch what rehearsal blindness misses.

Document who calls what: show caller owns run of show, audio lead owns mic assignments and mute groups, FOH engineer owns house mix, streaming op owns broadcast bus. Audio adds roles; it doesn't add time unless you plan for it.

From the floor: when the spare was the show

One corporate awards segment ran two hours of flawless panel audio — until the CEO's lav battery died mid-acceptance speech. The backup handheld was on a cart behind FOH, not on a stand at stage left where the presenter could reach it. Thirty seconds of dead air while a stagehand crossed the deck; the room noticed.

The next quarter's brief listed backup mic placement, swap protocol, and a mid-rehearsal battery swap drill. Same wireless kit. Different runbook.

Corporate event audio is not mysterious — it's a set of decisions made early and tested under pressure before the room fills. Spec the checklist, coordinate RF before load-in, and treat rehearsal as the last chance to fail quietly.
